Project Center’s workflow item search feature lets you look for specific workflow items that have been imported into your workflows. This feature is useful when you want to review important details about a specific item in one of your workflows.




Item Details

Each result listed on this page contains important item details:

Title
This is the input you chose as the task title during assignment setup.

Current Step
This is the current step, or assignment, that the item is in.

  • Staged items will say None because they have not yet been released to contributors.
View Submitted Tasks
This is a link to the Task Search page for the specific workflow item. Clicking this link will show you all tasks associated with this workflow item.

Created
This is the date the item was imported into a workflow.

Item Status

This is the item status:

  • Staged: The item is staged, which means you’ve imported it but haven’t released it to contributors yet.
  • Paused: The item has been paused and is not available for contributors to work on.
  • Step 1: The item is currently open in the first step of the workflow and is available for contributors to work on.
  • Step 2: The item is currently open in the second step of the workflow and is available for contributors to work on.
  • Step 3: The item is currently open in the third step of the workflow and is available for contributors to work on.
  • Completed: The item has successfully completed all steps in the workflow.
  • Canceled: The item has been canceled and is no longer active in the workflow.
Flags
This is the number of times the item was flagged by a contributor. You can click the number to view the flag details. 

Contributors are encouraged to flag tasks that contain incorrect data or are impossible to complete. If you agree with the reason a task was flagged, you should cancel the workflow item. This will remove the item from the workflow, making it unavailable for contributors to work on. 





Filters

There are a number of filters you can use to refine your workflow item search:

Status
Filter items by status:

  • Staged: Items that are staged, which means you’ve imported them but haven’t released them to contributors yet
  • Paused: Items that have been paused and are not available for contributors to work on
  • Step 1: Items that are currently open in the first step of the workflow and is available for contributors to work on
  • Step 2: Items that are currently open in the second step of the workflow and is available for contributors to work on
  • Step 3: Items that are currently open in the third step of the workflow and is available for contributors to work on
  • Completed: Items that have successfully completed all steps in their associated workflow
  • Canceled: Items that have been canceled and are no longer active in the workflow
Date Created

Filters items by the date they were imported into a workflow.

Workflow
Filter items by workflow.

Flagged
Filter items by whether or not they have been flagged by a contributor.

Project
Filter items by project.




Cancel Items

You can cancel individual workflow item(s) by checking the box on the right side of the item(s) and then clicking the Cancel Items button at the top of the page. This will remove the item from the workflow, making it unavailable to contributors. Items that have already been completed or that are currently assigned to contributors cannot be canceled. Items that are currently assigned to contributors will be canceled after the current step is completed.
